Please share a brief introduction about yourself and your business:
Hi, I’m Kaci Ranger. I’m the CEO/Founder of Purposeful Systems.
With organization and efficiency as my superpowers, I live for the moments when I can step into a small business and help them manage, plan, track, organize, streamline, and get time back.
From being a dental office manager to running a 6-figure online business in less than 2 years, I’ve helped 100s of businesses grow by revitalizing the back-end of their business to make it smooth. Some say my best skill is taking the jumbled mess in someone’s brain and turning it into a sustainable system.
I have over a decade of management experience specializing in systems and process creation and efficiency. This Type-A, Vetted ClickUp Consultant has managed multiple teams of 10+ people and lives + breathes organization.
The result? A more peaceful day-to-day and space to generate even more business. 10 hours of your time back per week. Now, that’s my love language. Well, it’s up there with back-to-back episodes of Friends.

What was your background prior to starting your own business?
Office Management, Process/System and Automation Building
What made you take the leap to start your own business?
COVID ... haha. I was furloughed with our office closure and hated how someone else had so much control of the financial part of my life. So, I took a course to start a business, replaced my income in 3 months, and never returned to my office.
Did you always know you wanted to be an entrepreneur?
Not really, by my step-father had his own business so I do feel it came easy to me when I decided to take the leap.
Take us back to when you first launched your business; what was your marketing strategy to get the word out and did it go as planned?
I followed the course that I was taking to get my business off the ground. I had a whole Facebook group networking process that I created and followed. It was about an hour a day of networking. Now, most of my marketing is Instagram and Ads, but then Facebook groups were the best bang for my buck (or time for that matter).
What is the biggest challenge you have encountered along the way so far and what have you learned from it?
Honestly, I didn't have a ton of challenges at the beginning. My challenges came after I had my first child in Jan 2024. The biggest challenge is trying to figure out how to do it all. After the month I decided to take off, I made an "Ideal Schedule" that changes as my son changes. But that written schedule helps me stay on track for the most part. It never actually happens perfectly EVER, haha.
What accomplishment are the most proud of to date in your business?
Being able to not return to the W-2 life!!
Do you have any recent wins from the last year that you'd like to celebrate with our community?
I launched a group program in Sept 2024 and sold 6 out of 10 spots!!
What's next for your business? What can we expect to see over the next few years?
I am constantly listening to my audience and the economy to be fluid with that. My biggest goal is always to support business owners where they are to be able to get to their next goals. I am working on new ClickUp templates to better serve more OSPs; I will also be launching my group program two more times in 2025. My goal for the business in the years to come is to take a bit of myself out of doing the work and more coaching and helping people with DWY services. (And leverage my team ore for DFY work).

On the flip side, how do you avoid burnout?

What is your approach to work-life balance / integration?
I leverage ClickUp and my team like there is no tomorrow. Both of those allow me to work about 20 hours a week.
I first use a system I built in ClickUp to sort applicants and have email automations set up to send out based on what choices I make.
My favorite question I like to ask is what they don't like to do; I am a big believer in using people's strengths and having them do things they actually like to enjoy. Asking this question allows me to know if they are going to be a good fit for the business.

Audible!! I love books. Haha.
What is your favorite business tool or solution and why?
ClickUp! I literally saved my life in my business, no more burnout, no more business stress, etc. I love that it grows with you and you can use it in a simple way or a very robust way.
